General condition

  • Prices
    • Rooms are invoiced by the hour (minimum of 2 hours for the multifunctional room and video-conferences)
    • The cost of hire is shown on the confirmation fax or e-mail.
    • Each hour started is invoiced in full.
    • Any request to exceed the period of time stated on the order must be submitted to the business centre reservation service for approval, and an additional charge shall consequently be invoiced in conformity with the general price schedule.


  • Reservation
    • A room is reserved following acceptance of the requested quotation. The customer has a period of 24 hours in which to confirm the reservation as from the date of issue of the quotation.
    • To reserve a room and services, the quotation must be accepted in writing, which signifies acceptance of the general terms of business.

    • For any enquiry, a record must be made of the the address, e-mail address and/or fax of the person making the enquiry.


  • Terms of payment
    • Immediately (cash, cheque or Carte Bleue) or upon receipt of the invoice (term of payment is 30 days as from the date of the invoice).
    • Catering services shall be invoiced directly by Select Service Partner, separately from hire of the room.
    • For any event requiring payment of amounts greater than € 1,500 excluding VAT, a down payment shall be made prior to the start of the event, corresponding to 25 % of the total amount to be invoiced.


  • Cancellation
  •  
    • By the customer.
      • Any cancellation, even if partial, must be confirmed in writing.
      • Any reservation cancelled less than 72 hours in advance shall be invoiced to the extent of 50 % of the price of the reserved room.
      • Any reservation cancelled on the day of the event shall be invoiced in full.
      • In the event of cancellation without prior notice, the amount shall be invoiced in full.
    • By Montpellier Chamber of Commerce and Industry.
      • The business centre reserves the right to cancel the contract if forced to do so by acts of God or events beyond its control (strikes, fires, water damage, etc.). 

  • Complaints
    • Any complaint as to the quality or prices of the different services must be made on the same day to reception, in writing.


  • Insurance
    • The Business Centre shall not be held liable for damage of any kind whatsoever (theft, deterioration, etc.) that may occur to objects, belongings or equipment brought by the customer or its guests to the meeting, for which the reservation has been made.
    • The customer is liable for any direct or indirect damage caused by it or its guests during the event. The customer and its insurers renounce their right to take legal action against the licensee, its insurers and the State, and undertake to guarantee them against any action of any kind whatsoever that might be taken against the latter. The customer shall inform its own insurers of these provisions so that they similarly renounce such rights.

  • Exhibitions, decoration
    • Any object to be used to decorate the rooms must be submitted to the Business Centre for approval.
    • The customer undertakes to return the technical facilities and/or any decorative elements that may have been modified during its activities in the Business Centre to their original condition, at its own expense.

  • Recruitment
    • If the purpose of hiring a meeting room is to carry out recruitment, the customer must first provide the Business Centre with the text of the corresponding job advertisements published in the press or distributed by any other means (in particular Internet). It is mandatory for the hiring advertiser to indicate its name in the advertisement, in order to release the Montpellier - Méditerranée business centre from any liability.

  • Statutory authorisations and declarations
    • It is the customer's responsibility to obtain the authorisations and make the declarations necessary for the meeting or event, in particular insurance, declarations to the SACEM (performing rights authority), labour legislation.

  • Judgement of disputes
    • In application of article L84 of the State Code, any disputes shall fall within the competence of the Administrative Tribunal.
